There are two times a company looks closely at its software licences.
Time one: when a publisher asks. The review letter has arrived, the response window is 30 to 60 days, and every answer has to be produced under someone else's clock. Whatever the records show, there is no time to fix anything — only to explain it.
Time two: when nobody is asking. A quiet quarter. A renewal still months away. The IT team has breathing room, the purchase records can be found properly, and anything discovered can simply be corrected — reassigned, right-sized, or bought at a negotiated price instead of a demanded one.
The findings are usually the same in both cases. The same forgotten installs. The same version mismatches. The same licences assigned to people who left.
Only the cost is different.
In time one, every gap is a liability with a deadline. In time two, the same gap is just a line item on a to-do list.
The organisations we respect most are the time-two companies. Not because their environments are cleaner — they aren't. Because they chose when to look.
